Houston Advanced Research Center (HARC) is a nonprofit research hub dedicated to developing science-based sustainability solutions across energy, air, water, and climate resilience. Their work supports policy and technology implementation through rigorous data and applied research — and their back-office systems need to be just as precise. Palladium partnered with HARC to improve NetSuite usability, resolve reporting inefficiencies, and strengthen grant oversight across their organization.

Bringing Clarity to a Complex Operating Environment

HARC’s NetSuite environment had accumulated friction across several areas: fragmented reporting tools, segment code inconsistencies, limited grant visibility, and no structured approval workflow. The finance team lacked a reliable way to track encumbered versus unencumbered grant balances, and indirect cost allocation gaps were causing transactions to fall through the cracks.

Palladium worked through each layer methodically. We cleaned up and rationalized saved searches, built a custom expense report segmented by grant, GL account, and document number, and standardized navigation views across roles so every team member was working from a consistent vantage point. A grant approval workflow with rejection reason tracking was implemented to ensure all grants go through structured review before processing. We also built an encumbrance visibility report to give the finance team a real-time picture of budget status across active grants, and began planning a new indirect cost allocation script to resolve negative value limitations from the original implementation.
